Town hall meeting (FTHM)

Every Friday we hold a town hall meeting where everyone can ask or present anything, and where we demo new awesome stuff. It is timeboxed to one hour and each part can take 15 minutes max. During the 6 hour work day experiments (in 2021), it was limited to 45 minutes.

  • Encourage Springeteers to join to post the agenda 1 day in advance, or in the morning of the meeting in #z_general
  • Check  ≡ Friday Town Hall Meeting FTHM  a couple days in advance and, if list is empty, try to 'book' some speakers mid-week 
  • When at the office: repeat questions, and coach the crowd talk audibly
1a Setup for a remote meeting
  • Login via Zoom with the office login, it's in 1password
  • Create the link
  • Under 'security', make sure to disable the waiting room and allow participants to share their screen
  • Share the link in #z_general
  • Record the meeting
1b Setup at the office 
(recommended: start 10 min in advance):
  • Start the Zoom setup, see  How to use the Zoom software in Zürich (kitchen, FTHM) area 
  • Take down the white screen and press "ON" on the remote of the beamer.
  • If needed, login into the Mac mini via 1 Password (it's called MacMini Zurich / FTHM / Beamer)
  • open FTHM list in Asana and share your screen via Zoom

1a Remote
  • As host you can record the meeting within Zoom
  • After the meeting, Zoom will create the recording for you. Name the file 'FTHM month day, year'. 
  • Upload the file to drive  here 
1b At the office
  • Role responsible:  Social Media Creator (multiple) 
  • Use the external microphone thingy. To record you can use the videocamera or Quicktime Player, start a recording via File > New Movie Recording. Please make sure that you select the correct input (CHAT 150) in your sound preferences (input tab)
  • Save the file somehwere you can find it
  • Upload it to Youtube, using your  [you]@springest.com  account. Then, make it private & add Springest as a 'person' or mark the box "share with Springest"
2 Share the meeting with Springeteers
  • Create a Sputr including:
  • Title = # Friday Town Hall Meeting DATE
  • Agenda items, nice to add links to the presentation, or other things the speaker refers to in the item
